In practice, this means the following:

  • if the car is purchased by a sp. z o.o., S.A., or another entity that acts as a separate legal owner, the vehicle is registered in that company’s name;
  • if we are talking about a JDG, you need to look very carefully at how the purchase is structured and who is legally considered the owner, because sole proprietorship is not a separate subject of rights and obligations from the individual person.

This is exactly where many people make their first mistake: they confuse “a car for business use” with “a car registered to a separate company.” For accounting, tax purposes, and the registration process itself, these are not always the same thing.

When A Business Really Needs A Car Registered To The Company

Not every entrepreneur needs to buy a vehicle specifically in the company’s name. But there are situations where this is logical and convenient:

  1. the vehicle is used mainly for business activity;
  2. the car is needed for employees, deliveries, service work, or client visits;

  4. it is important to structure ownership, expenses, and document flow correctly;
  5. the company is buying several vehicles and wants a clean accounting structure.

For example, for certain violations related to zgłoszenie zbycia lub nabycia pojazdu, the government service indicates a fine of 250 zł or, for older categories of cases, a range of 200–1000 zł.

Where To Start: Insurance Before Registration

Before registration, or at the latest on the day of registration, the vehicle must have valid OC insurance. The official government portal clearly reminds vehicle owners that a car without mandatory third-party liability insurance cannot legally be used on public roads, and penalties apply for not having OC coverage.

If the vehicle is purchased from a previous owner, you should not simply “assume” that the insurance is still valid — you should actually verify its status. If we are talking about a new car or a vehicle that has just been imported, it is best to resolve the insurance issue before visiting the urząd.

What Documents Are Required To Register A Car For A Company

The exact list depends on the type of vehicle: a new car from a Polish dealership, a used car from Poland, or a vehicle imported from abroad. However, there is a basic set of documents without which the procedure cannot begin.

  • a document confirming ownership — for example, a faktura or a sale and purchase agreement;
  • confirmation of payment of registration fees;

For a new car purchased in Poland, official government materials also indicate the need for documents such as a świadectwo zgodności WE or another equivalent certificate of approval, as well as a document confirming ownership. If the ownership document is drawn up in a foreign language, a certified sworn translation into Polish is usually attached.

What A Company Needs In Addition

Separately, you should be ready to confirm the status of the entity registering the vehicle. In practice, this may include data from KRS, REGON, representative documents, a power of attorney, and other papers allowing the authority to verify who is acting on behalf of the company. If the registration is handled by an authorized person, a fee of 17 zł often applies for the power of attorney.

This is exactly where improvisation is not a good idea. If the vehicle is being registered to a company through a representative, or if the case involves foreign documents, it is better to review the entire file in advance. If The Car Is New From A Dealership

For a new vehicle, the scenario is often simpler. Gov.pl clearly states that such a vehicle should be registered before leaving the dealership, and the registration of a new car may also be handled through the dealership itself. In that case, the documents are submitted through the seller, and the owner or a dealership employee may receive the temporary registration decision, temporary permit, and plates in the manner selected in the application.

  • this is convenient if the dealership really provides such a service;
  • but even in that case, it is still necessary to check in whose name the ownership is being оформлено;
  • for a company, it is important that all company details are entered correctly from the very beginning.

If The Car Was Purchased In Poland As A Used Vehicle

Here, you need to check whether the old license plates can be kept, whether the car is already registered in the same powiat, and what set of documents the previous owner is providing. For an imported vehicle, the registration authorities usually expect not only the standard document package, but also additional documents related to importation and taxes. Government and local authority services indicate that for a vehicle brought in from outside Poland, you may need a proof of ownership document, a foreign registration certificate, customs clearance confirmation for cars imported from non-EU countries, and for passenger cars — a document confirming payment of excise duty or confirming that no such obligation exists.

What Matters About Excise Duty

PUESC clearly states that the excise declaration must be submitted within 14 days from the moment the tax obligation arises, and the tax itself must be paid within 30 days. For an imported passenger car, this is not something to postpone “until later.”

If the car is being imported from abroad, it is best to treat the process as one single chain: customs clearance, excise duty, technical documents, and registration.

  • base registration — separately;
  • plates — separately;
  • temporary permit — separately;
  • power of attorney — separately;
  • for an imported car — excise duty, customs costs, and translation costs separately as well.

Submitting The Application: What The Procedure Looks Like Step By Step

  1. Determine who exactly will be the owner of the vehicle.
  2. Arrange or verify OC insurance.
  3. Collect the full set of documents for the vehicle and the company.
  4. Check whether excise duty or customs documents are required.
  5. Pay the registration fees.
  6. Submit the application to the właściwy wydział komunikacji.
  7. If necessary, obtain temporary registration for 30 days.
  8. Wait for the permanent dowód rejestracyjny and complete the procedure.

Gov.pl indicates that after the application is submitted, the authority first registers the vehicle temporarily for 30 days, and during that time verifies the details and arranges for the permanent registration document to be produced. If the permanent registration is not completed within 30 days, the temporary registration period may be extended by another 14 days.
