For many companies in Poland, a car is not just transportation, but a working tool. A vehicle may be needed for client visits, logistics, service work, goods transportation, business trips, construction tasks, or installation jobs. That is why the question of how to buy a car for a company in Poland and how to register a vehicle in a company’s name comes up very often — both for owners of sp. z o.o. and for entrepreneurs who are only just building their business structure.
At first glance, the procedure may not seem complicated: buy the car, submit the documents, get the plates. But in practice, everything depends on the details. It is important who exactly is listed as the owner, what set of documents is submitted, whether excise confirmation is required, whether the old license plates can be kept, where exactly the application must be filed, and what deadline must be met in order to avoid problems. Registration is handled by the starosta based on the owner’s place of residence or registered address, and for companies the key reference point is the address of their siedziba.
We will explain how to complete the registration without confusion or delays

In this article, we will explain who can register a car in a company’s name, what documents are needed, how much the procedure costs, what to do if the vehicle comes from abroad, and where entrepreneurs most often lose time. We would also like to remind you that if you need help not only with registration, but also with car customs clearance, placing a vehicle on record, deregistration, driver’s license replacement, or other car-related matters in Poland, the Work Permit team can also assist with those processes.
Who Can Register A Car For A Company In Poland
The key rule is simple: a vehicle is registered to its owner. If the owner is a company, then the company is the party involved in the registration procedure. The Ministry of Infrastructure clearly states that registration is carried out by the starosta based on the owner’s place of residence or registered address, and for businesses with separate branches, the location of the relevant unit may also matter.
In practice, this means the following:
- if the car is purchased by a sp. z o.o., S.A., or another entity that acts as a separate legal owner, the vehicle is registered in that company’s name;
- if we are talking about a JDG, you need to look very carefully at how the purchase is structured and who is legally considered the owner, because sole proprietorship is not a separate subject of rights and obligations from the individual person.
This is exactly where many people make their first mistake: they confuse “a car for business use” with “a car registered to a separate company.” For accounting, tax purposes, and the registration process itself, these are not always the same thing.
When A Business Really Needs A Car Registered To The Company
Not every entrepreneur needs to buy a vehicle specifically in the company’s name. But there are situations where this is logical and convenient:
- the vehicle is used mainly for business activity;
- the car is needed for employees, deliveries, service work, or client visits;
- there are plans to use the vehicle systematically as a business asset;
- it is important to structure ownership, expenses, and document flow correctly;
- the company is buying several vehicles and wants a clean accounting structure.
If the situation is mixed — for example, the car is partly for the company and partly for private use — it is better to think through the registration model before the purchase. In many cases, a preliminary consultation saves more than a rushed registration followed by trying to “fix” the consequences.

Where To Register A Car In A Company’s Name
The application must be submitted to the registration authority competent for the owner’s registered address. Usually, this is the starostwo, a city office with powiat rights, or another relevant registration authority. For companies, the key reference point is the address of the siedziba, not the place where the vehicle is actually used.
That is why before filing, it is worth checking:
- which authority is competent for your company;
- whether an appointment must be booked in advance;
- whether the documents can be submitted through a representative;
- what local requirements the specific wydział komunikacji may have.
What Is The Deadline For Registering A Car In Poland
The owner of a vehicle is required to submit a registration application within 30 days. This deadline applies, among other things, from the date of purchasing the vehicle in Poland, from the date a vehicle from a non-EU country is released for circulation, or from the date the vehicle is brought in from another EU country. The official government service also clearly states that if a car is bought from a Polish dealership, it should be registered before leaving the showroom, and if the car is imported from abroad, there are 30 days available for registration.
Where To Start: Insurance Before Registration
Before registration, or at the latest on the day of registration, the vehicle must have valid OC insurance. The official government portal clearly reminds vehicle owners that a car without mandatory third-party liability insurance cannot legally be used on public roads, and penalties apply for not having OC coverage.
If the vehicle is purchased from a previous owner, you should not simply “assume” that the insurance is still valid — you should actually verify its status. If we are talking about a new car or a vehicle that has just been imported, it is best to resolve the insurance issue before visiting the urząd.
What Documents Are Required To Register A Car For A Company
The exact list depends on the type of vehicle: a new car from a Polish dealership, a used car from Poland, or a vehicle imported from abroad. However, there is a basic set of documents without which the procedure cannot begin.
Main Set Of Documents
- an application for vehicle registration;
- a document confirming ownership — for example, a faktura or a sale and purchase agreement;
- confirmation of payment of registration fees;
- vehicle documents, including the dowód rejestracyjny, if the car has already been registered;
- a valid technical inspection, if required in the given situation;
- OC insurance;
- the company’s data and documents, or the representative’s documents.
For a new car purchased in Poland, official government materials also indicate the need for documents such as a świadectwo zgodności WE or another equivalent certificate of approval, as well as a document confirming ownership. If the ownership document is drawn up in a foreign language, a certified sworn translation into Polish is usually attached.
What A Company Needs In Addition
Separately, you should be ready to confirm the status of the entity registering the vehicle. In practice, this may include data from KRS, REGON, representative documents, a power of attorney, and other papers allowing the authority to verify who is acting on behalf of the company. If the registration is handled by an authorized person, a fee of 17 zł often applies for the power of attorney.
This is exactly where improvisation is not a good idea. If the vehicle is being registered to a company through a representative, or if the case involves foreign documents, it is better to review the entire file in advance. At Work Permit, we can help not only with the registration itself, but also with the registration logic if the car is being purchased after customs clearance, deregistered, re-registered, or if there are related car matters affecting the business.
If The Car Is New From A Dealership
For a new vehicle, the scenario is often simpler. Gov.pl clearly states that such a vehicle should be registered before leaving the dealership, and the registration of a new car may also be handled through the dealership itself. In that case, the documents are submitted through the seller, and the owner or a dealership employee may receive the temporary registration decision, temporary permit, and plates in the manner selected in the application.
- this is convenient if the dealership really provides such a service;
- but even in that case, it is still necessary to check in whose name the ownership is being оформлено;
- for a company, it is important that all company details are entered correctly from the very beginning.
If The Car Was Purchased In Poland As A Used Vehicle
Here, you need to check whether the old license plates can be kept, whether the car is already registered in the same powiat, and what set of documents the previous owner is providing. From a practical point of view, it is important to have not only the agreement or faktura, but also the registration documents, plates, and confirmation that the vehicle is eligible for road use.
From a cost perspective, this may also affect the total amount. For example, local fee tables show that standard registration of a car from another powiat, a new vehicle, or an imported vehicle often costs 160 zł, while registration of a used vehicle with existing license plates and without a temporary permit may cost 66.50 zł.
If The Car Is Imported From Abroad
This is the scenario that most often creates the greatest number of questions. For an imported vehicle, the registration authorities usually expect not only the standard document package, but also additional documents related to importation and taxes. Government and local authority services indicate that for a vehicle brought in from outside Poland, you may need a proof of ownership document, a foreign registration certificate, customs clearance confirmation for cars imported from non-EU countries, and for passenger cars — a document confirming payment of excise duty or confirming that no such obligation exists.
What Matters About Excise Duty
PUESC clearly states that the excise declaration must be submitted within 14 days from the moment the tax obligation arises, and the tax itself must be paid within 30 days. For an imported passenger car, this is not something to postpone “until later.”
This is also where it makes sense to mention that Work Permit can help not only with placing the car on record, but also with customs clearance, preparing the registration package, later deregistration, and related matters — from documents to driver’s license replacement in Poland.
How Much Does It Cost To Register A Car For A Company In Poland
The exact amount depends on the type of vehicle and the registration scenario. The government service for registering a new vehicle through a dealership details the main components: 85 zł for the dowód rejestracyjny and a set of legalization marks, 13.50 zł for the pozwolenie czasowe, 80 zł for standard car plates, or 1000 zł for individual plates.
Local starostwo websites show a very similar practice in ready-made packages: 160 zł for a new, imported, or out-of-powiat vehicle; 66.50 zł if a used vehicle is registered while keeping the existing plates and without a temporary permit; 17 zł if a representative is acting under a power of attorney.
So it is best not to think in terms of one “magic amount,” but rather like this:
- base registration — separately;
- plates — separately;
- temporary permit — separately;
- power of attorney — separately;
- for an imported car — excise duty, customs costs, and translation costs separately as well.
Submitting The Application: What The Procedure Looks Like Step By Step
- Determine who exactly will be the owner of the vehicle.
- Arrange or verify OC insurance.
- Collect the full set of documents for the vehicle and the company.
- Check whether excise duty or customs documents are required.
- Pay the registration fees.
- Submit the application to the właściwy wydział komunikacji.
- If necessary, obtain temporary registration for 30 days.
- Wait for the permanent dowód rejestracyjny and complete the procedure.
Gov.pl indicates that after the application is submitted, the authority first registers the vehicle temporarily for 30 days, and during that time verifies the details and arranges for the permanent registration document to be produced. If the permanent registration is not completed within 30 days, the temporary registration period may be extended by another 14 days.
Can You Use The Car Before Receiving The Permanent Document
Yes, if you have valid temporary registration and the relevant documents. That is exactly what the pozwolenie czasowe is for. But it is important not to confuse different situations: using an unregistered vehicle on public roads is not allowed. Government services explicitly remind vehicle owners of this.
Typical Mistakes When Registering A Car To A Company
- the owner is incorrectly identified at the purchase stage;
- the application is submitted to the wrong urząd because of confusion about the siedziba address;
- part of the document package for the imported vehicle is missing;
- excise duty or customs confirmation is ignored;
- OC insurance is postponed until the last moment;
- the power of attorney is incorrect or the relevant fee has not been paid;
- trying to save time by filing “as is” and then submitting missing documents chaotically later.

When It Is Better To Delegate The Process To Professionals
It is possible to handle the procedure on your own if your situation is simple: the car was bought in Poland, the owner is clearly defined, the documents are complete, and there is no urgent time pressure. But if the vehicle is imported, being purchased for a company through a representative, or there are questions about the documents, excise duty, customs clearance, or later re-registration, delegating the process is often the more reasonable option.
At Work Permit, we can help businesses not only with buying and registering a car for a company, but also with customs clearance, registration, deregistration, driver’s license replacement, and other car-related services in Poland — when what matters is not just “submitting papers,” but completing the entire process without unnecessary chaos.
We will help with documents, deadlines, and the registration procedure

Registering a car for a company in Poland is a fully manageable and understandable procedure if you build the logic correctly from the very beginning: determine the owner, prepare the documents, verify the taxes, and submit the application to the competent authority. The less improvisation there is at the start, the more smoothly the entire process goes — and the faster the car actually starts working for the business.
