How To Apply For A Residence Card In Poland At The Beginning Of 2026?

Clock 20 March 2026

At the beginning of 2026, the procedure for applying for a residence card in Poland is in a transitional phase. The new rules are already in force, but the full launch of the MOS v2.0 electronic system has not yet taken place across the entire country. Because of this, the situation differs significantly depending on the voivodeship, and the “hope for the best” approach no longer works.

The Work Permit team works with clients from different regions of Poland every day and sees the real practice of the immigration offices — where applications are processed faster, where delays occur, and where, without the right strategy, you can lose a year or more.

Below is a detailed overview of the key cities in Poland and recommendations on how to act in 2026 so you do not lose your legal status or waste valuable time.

Planning To Apply For A Residence Card In 2026?
We Will Help You Choose The Right Strategy For Your Voivodeship
We will explain where it is better to apply, how to take the new 2026 rules into account, and how not to lose time because of mistakes in your documents or the wrong submission method.

General Situation At The End Of 2025 And Beginning Of 2026

At the moment, a dual submission model is in place:

  • new application forms are already mandatory;
  • the old system of in-person reservations is still partially operating;
  • MOS v2.0 has been officially announced but has not been fully launched yet.

This means that:

  • different voivodeships have different rules;
  • the same strategy does not work across all of Poland;
  • a mistake at the start can cost you months or even years of waiting.
At the beginning of 2026, the main mistake is following a universal approach without taking into account the practice of a specific voivodeship.

Wrocław (Dolnośląski Urząd Wojewódzki)

As of today, Wrocław is the most convenient voivodeship for filing an application if you already have a previously reserved appointment date.

What is important to know:

  • in-person appointments booked under the old reservation system are still taking place;
  • appointments are being held in January, February, and likely in March 2026;
  • scheduled dates are not being canceled.

That is why many Work Permit clients deliberately choose Wrocław: here, it is still possible to submit documents in person, without unnecessary stress and the technical issues typical of online applications during this transitional period.

Warsaw (Mazowiecki Urząd Wojewódzki)

In Warsaw, the transition to a digital model happened earlier than in other regions.

Current rules:

  • booking an in-person appointment is completely closed;
  • applications are accepted exclusively through MOS;
  • paper documents are not accepted.

Warsaw’s advantage is faster case processing than in many other voivodeships. However, there is one critical point: e-Doręczenia.

Inspectors actively send requests for:

  • additional documents;
  • data clarification;
  • re-submission of files.

If you do not respond on time, your case will automatically become “stuck.”

Work Permit specialists help clients:

  • set up e-Doręczenia;
  • monitor deadlines;
  • respond quickly to requests from the immigration office.

In Warsaw, it is no longer enough to simply submit an application — you must be able to work efficiently with MOS and e-Doręczenia, otherwise even a well-prepared case can get stuck because of a missed request or a technical error.We will show you how to go through the digital application process in Warsaw correctly and without delays.

Katowice (Śląski Urząd Wojewódzki)

Katowice remains the most difficult voivodeship in Poland for legalization.

The real situation:

  • appointment booking has been canceled;
  • the filing date is assigned by phone or through unofficial channels;
  • processing times range from 12 months to 3 years.

Many foreigners remain in an uncertain status for years.

However, proper case preparation changes the situation.
Even in Katowice, Work Permit handles new cases to a decision in an average of 8–12 months, while already opened proceedings are usually resolved within a year.

Kraków (Małopolski Urząd Wojewódzki)

In Kraków:

  • there is no in-person reservation system;
  • processing times are 6–12 months and often longer;
  • requests for additional documents are sent regularly.

Filing independently often leads to:

  • multiple korekta wniosku;
  • loss of time;
  • repeated reviews.

Legal support here genuinely shortens the process rather than being just a formality.

In Kraków, the biggest time losses usually happen because of repeated korekta wniosku and incomplete responses to requests from the immigration office.

Gdańsk (Pomorski Urząd Wojewódzki)

Gdańsk has long been operating under a postal submission model.

Pros:

  • biometrics appointments are scheduled quickly;
  • the process is clear and understandable.

Cons:

  • very strict document review;
  • frequent requests for translations, explanations, and additional certificates;
  • any small mistake means a delay in the case.

That is why Work Permit recommends preparing the document package as thoroughly as possible even before submission.

Poznań (Wielkopolski Urząd Wojewódzki)

Poznań is considered one of the calmest voivodeships.

  • applications are submitted mainly via Poczta Polska;
  • without legal support, the waiting time is 10–18 months;
  • with legal support, it is often 6–8 months.

It is precisely because of these relatively predictable timeframes that many clients choose this region.

Important Information About MOS v2.0

All immigration offices:

  • are completing appointments booked under the old reservation system;
  • will switch to online-only applications after the official launch of MOS v2.0.

The date will be announced in advance by the Office for Foreigners (UDSC).

After the launch:

  • there will be no in-person document submission;
  • an office visit will only be required for fingerprint collection.

MOS v2.0 changes not only the form of submission but the entire logic of the legalization process. In 2026, those applicants who prepare their digital tools, documents, and communication strategy with the immigration office in advance will be in the strongest position.We will help you move to the new system without technical or legal mistakes.

Residence Card Based On Employment And The Employer’s Role In 2026

Starting in 2026, legalization based on employment becomes fully digital.

The key innovation is direct online communication between the immigration office and the employer via e-Doręczenia.

How It Works:

  1. The foreign national submits the application in MOS.
  2. The inspector sends the employer an electronic załącznik nr 1.
  3. The employer must: – fill in the required data; – sign the document with an electronic signature.

Until the załącznik is signed, the application is considered incomplete.

Main Risks:

  • the employer does not have a Profil Zaufany;
  • the employer does not understand how e-Doręczenia works;
  • the employer makes mistakes in the salary or job title.
  • In 2026, the employer’s role becomes critical, and Work Permit supports the process from both sides to avoid delays.
In 2026, a residence card case based on employment depends not only on the foreign national, but also on how well the employer is prepared for digital communication.

Advantages Of The New System

  • załącznik nr 1 can be added during the review process, not only at the very beginning;
  • the same logic applies to students, trainees, and volunteers;
  • after submission, an UPO and an electronic confirmation of legal stay are issued.

There Will No Longer Be A “Red Stamp” In The Passport

With full digitalization, the passport stamp disappears.

Instead, applicants will receive:

  • an electronic zaświadczenie from MOS;
  • the ability to download and print the document;
  • real-time online case status tracking.

Recommendation From Work Permit:

  • always keep a printed copy of the zaświadczenie;
  • save a screenshot of your case status.

New Forms Effective From December 1, 2025

Already in force:

  • a new wzór wniosku;
  • updated załączniki;
  • new requirements for photographs and employment data.

If you submit the old form, the application will be returned as formally incomplete.
